Job Description

We are seeking a friendly, organized, and proactive Front Desk Receptionist to be the welcoming face of Citryne Rose Salons. You will be responsible for creating a warm and inviting environment for our Rosebuds, managing appointments, handling retail sales, and ensuring smooth daily operations at the front desk. Your role is crucial in delivering the exceptional experience that defines our brand.

Key Responsibilities

Cultivating First Impressions

  • Greet each Rosebud warmly by name within 10 seconds of entry.
  • Use the phrase “Welcome to our garden of beauty” for first-time visitors and “Welcome home Rosebud” for repeat visitors.

Check-In Process

  • Confirm appointment details in Phorest.
  • Update contact information if necessary.
  • Inform the assigned stylist of the Rosebud’s arrival.

New Rosebud Orientation

  • Provide a brief tour of our sacred space.
  • Introduce them to our Texture Match Wall and product lines.
  • Offer a complimentary consultation card to fill out while waiting.
  • Offer a complimentary consultation card to fill out while waiting.

Phone and Online Booking Management

  • Answer calls promptly with our welcoming script: “
  • Manage online bookings and send confirmation emails within 15 minutes.

Retail Area Assistance

  • Be knowledgeable about all products and make recommendations.
  • Demonstrate products or provide samples.
  • Manage Inventory on a weekly basis working with assistants to update items for orders 
  • Process retail sales efficiently, offering Citryne Rose branded bags.

Payment Processing

  • Review services rendered with the Rosebud.
  • Process payments accurately and efficiently.
  • Offer various payment options (credit card, mobile pay, Citryne Rose gift cards).

Rebooking and Departure

  • Always offer to schedule the next appointment.
  • Provide a Citryne Rose appointment card with the date and time.
  • Walk the Rosebud to the door, thanking them for their visit.

Maintaining the Ambiance

  • Keep the reception area clean and organized at all times.
  • Ensure the Citryne Rose signature scent is present but not overwhelming.
  • Maintain a peaceful atmosphere, managing noise levels.

Managing Challenges

  • Handle any complaints or issues with empathy and professionalism.
  • Follow the C.A.R.E. protocol: Connect, Acknowledge, Resolve, Elevate.
  • Escalate unresolved issues to the manager on duty.

End-of-Day Procedures

  • Reconcile cash drawer and credit card transactions.
  • Prepare the next day’s appointment list.
  • Send appointment reminders for the following day.

Continuous Growth

  • Stay updated on new services, products, and promotions.
  • Provide feedback on Rosebud experiences and suggestions for improvement.

Qualifications

  • Customer Service Excellence: Proven experience in a customer-facing role with exceptional interpersonal skills.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Organizational Skills: Strong attention to detail and ability to multitask efficiently.
  • Technical Proficiency: Proficient in point of sale software (e.g., Phorest) and Microsoft Office Suite or related software.
  • Sales Acumen: Ability to upsell products and services effectively.
  • Problem-Solving: Capable of handling challenges with empathy and professionalism.
  • Team Player: Collaborative mindset with a commitment to fostering a positive work environment.
  • Adaptability: Ability to prioritize tasks and manage time effectively in a dynamic setting.
  • Social Media Knowledge: Experience with social media marketing and branding is a plus.
